Process discovery for teams that don’t talk to each other

Everyone knows their part. Nobody knows the whole.

I’m

You just took over and nobody can explain how things run. Get the real process — including the parts people only ever told ChatGPT — onto one board in your first week.

Regulars get 15% off. Sometimes 20. I’ve never seen a limit written down.

The problem

Discovery shouldn’t take longer than the fix.

Before you can fix a process, you have to find it. Right now it’s spread across three places, and none of them talk to each other.

Where your process actually lives today

  • In people’s headsMaria knows how stock gets reordered. Nobody else does.
  • In private AI chatsEach person explained their part to ChatGPT or Claude. No one else can read it.
  • In an old SOPWritten in 2019. Nobody follows it anymore.

Why AI hasn’t fixed this

Each chat only hears one side. ChatGPT doesn’t know what Maria told Claude. Ask it to write the SOP and you get a confident guess, not how your team really works. StopSilo puts every version on one map, so the gaps show up before the project starts.

How it works

From scattered chats to one agreed map.

Nobody has to learn a new tool, and nobody has to sit through another workshop.

Swimlane view

Who does what, and when it changes hands.

When you need the formal version, the process becomes a swimlane board. Each person or team gets a lane, the phases of the work run across as columns, and every handover is labelled.

  • Plain words, not notation

Steps, decisions, waits and handovers. Every decision shows its Yes and No, so nobody needs flowchart training to read it.

  • Change it by asking

Type “move the approval to Finance” and the board updates. Each change says what moved, with Undo.

  • Walk me through it

Not sure what’s missing? It asks about the gaps one question at a time, with answers you can tap.

Brightwell Supply · Customer refundSwimlane3 lanes · 3 phases

Three lanes: Customer, Support and Finance. Three phase columns: Request, Review and Payout. In Request, the customer asks for a refund and sends the order number, which is handed over to Support. In Review, Support checks eligibility. If not eligible, Support tells the customer it’s declined and the case is closed. If eligible, it is handed over to Finance. In Payout, Finance issues the refund in Stripe, waits for bank settlement, and the refund is paid. Beside the board, the walk-through asks: how long is the wait for bank settlement? Suggested answers: 1–2 days, 3–5 days, Not sure yet, Stop for now.
